1. Scope and data controller

This Privacy Policy explains how VectoReps ("VectoReps", "we", "us") collects, uses, stores and protects information when you use the VectoReps website, related services, or the VectoReps Discord application (the "Services").

2. Information we collect

Depending on the features you use, we may process:

• Discord user, server, channel, role, message and thread identifiers;
• Discord profile information such as username and avatar;
• server membership, role, moderation and server-boost information;
• activity statistics, including XP, levels and message counts;
• message content required for verification, link conversion, moderation, anti-spam and activity features;
• ticket, giveaway, forum-thread and moderation records;
• account and service configuration supplied through the website; and
• basic technical information necessary for security and service operation.

The Discord application does not request or process guild presence data and does not monitor whether users are online, idle, or offline.

3. How we use information

• to provide authentication and requested website functionality;
• to welcome members and assign configured roles;
• to operate XP, levels, rankings, rewards and giveaways;
• to manage tickets, forum threads and verification codes;
• to detect spam, scams, prohibited links and rule violations;
• to convert supported product links and provide product-search features;
• to support moderation, security, troubleshooting and abuse prevention; and
• to maintain and improve the reliability of the Services.

We do not sell message content or use it for advertising. Message content is not used to train artificial-intelligence or machine-learning models.

4. Message content

Message content is processed only where necessary for enabled Discord features, including spam and unsafe-link detection, supported-link conversion, verification codes, forum participation rules, ticket activity and XP eligibility. Most content is evaluated automatically when a message is received. To prevent duplicate-message abuse in the XP system, the most recent qualifying message associated with a user may be stored in our database.

5. Storage, sharing and security

Service data may be stored in databases and infrastructure operated for VectoReps. Hosting, database and infrastructure providers may process data solely to operate the Services. We do not sell personal information. Information may be disclosed when required by law, to protect users and the Services, or during a legitimate organizational transfer. We apply reasonable safeguards, but no online system is completely secure.

6. Data retention

We retain information only while it is needed to provide the applicable feature, maintain security, resolve disputes, enforce rules, or meet legal obligations. Retention periods vary by record type. Information may be deleted or anonymized when no longer required or following a valid deletion request, unless continued retention is legally necessary.

7. Your choices and rights

You may stop the Discord application from processing new information by leaving a server where it operates or asking a server administrator about available feature controls. You may request access to, correction of, or deletion of information linked to your Discord account by contacting us. Include your Discord user ID so we can locate the relevant records. We may verify that you control the account before acting on a request.

8. Third-party services

The Services interact with Discord and may contain links to independent shopping or community platforms. Their privacy practices are governed by their own policies, and VectoReps is not responsible for third-party websites or services.

9. Children

The Services are not directed to children under 13. Users must also meet the minimum age required by Discord and applicable law. If we learn that information was collected from a child contrary to these requirements, we will take appropriate steps to delete it.

10. Changes to this policy

We may update this policy when our Services or legal obligations change. The revised version will be posted here with an updated effective date.
